Marketing & Communications Policy

Effective Date: December 2024

Purpose

This policy outlines the appropriate use of Bishop Chatard High School’s (the “school’s”) logos, name, and colors (“branding”) as well as photography of students used or appearing in advertising, promotional materials, and other communications. This usage extends across all platforms including but not limited to social media, print, video, web, and other digital and print media. Our objective is to uphold the school’s reputation, align with our mission, and ensure the privacy and rights of faculty, staff, students, and their families are respected.

1. Scope

This policy applies to all Bishop Chatard High School faculty and staff, students, parents, guardians, volunteers, family members of students or staff and any external parties involved in marketing, communications, or advertising that represent the school.

2. Official School Branding

The school’s branding is a valuable asset that represents the identity, reputation, and mission of Bishop Chatard.

  • Authorization: Any use of the school’s branding for marketing, events, or external communication must be approved by the Marketing & Communications Department.
  • Consistency: Branding must be used consistently across all platforms and media to ensure brand integrity. The use of the Bishop Chatard name, official logos, typefaces, and colors should not be altered.
  • Unauthorized Use: The school’s branding may not be used for personal or external projects, including but not limited to student-organized events, unofficial clubs, non-school-sanctioned events or promotions, or non-affiliated businesses.

3. Use of Student Images

3.1 Consent:

  • Receipt and acknowledgment of the Bishop Chatard Student Handbook occurs when families register students through PowerSchool at the start of each school year, and serves as explicit, prior consent from parents or guardians (or directly from students, if over the age of consent) for the use of photography and images of students in school print, digital, or social media.
  • Parents who do not want their child(ren)’s images used in school communications or media must notify Amy Hankins, Director of Marketing & Communications at ahankins@bishopchatard.org and Ben Reilly, Vice Principal of School Operations at breilly@bishopchatard.org at the beginning of each new school year. A request to refrain from publishing photos including a specific student will not apply to large group photos.

3.2 Use & Privacy:

  • Bishop Chatard High School is committed to using student images in a manner that aligns with its mission and values, ensuring respectful and appropriate representation that prioritizes student and staff privacy and safety.
  • The school will limit specific, identifying personal information (e.g. full names, addresses, or other identifying details) and will provide options for families to opt out of media use at any time.

4. Social Media

4.1 School Sanctioned Social Media Accounts:

Only authorized Bishop Chatard High School personnel may post or manage content on the school sanctioned social media accounts.

4.2 Non-School-Sanctioned Accounts:

  • Bishop Chatard permits the establishment of non-school-sanctioned social media accounts by students, parents, or other community members under the guidelines of the school social media policy.
  • Students, parents, or staff are not permitted to use the school’s logos or branding in personal social media profiles, pages, or posts without prior approval from the Marketing & Communications department.

5. External & Third-Party Promotions

When collaborating with external media, partners or sponsors for events, the school’s branding and photography of students may only be used after obtaining formal approval from school administration. All partnerships must align with the school’s mission and values.

6. Non-Compliance

Violations of this policy may result in disciplinary action, which may include the removal of unauthorized content, revocation of social media privileges, or further sanctions as deemed appropriate by the administration.

6. Policy Review

This policy will be reviewed annually and updated as necessary to ensure compliance with current regulations and best practices.
